So you've been given the ability of doing applications on the DHG Website. Before you do the applications however, you need to know HOW to do them. This will be a step by step guide on what you need to know.
The Applications Page
You can find the applications at http://dhghq.com/dashboard/applications, or on your sidebar, symbolized by an orange icon. Each undecided App is listed by chronological order by which it was received, newest first.
Open the App
To open an app, click the "Join DHG!" text next to a username. From there, you will be able to see all the information for this app. Don't click the username quite yet, or the approve/deny buttons.
Check Their Enjin Profile
Now click their username, and open in a new tab if you can. You're going to want to check their profile for anything suspicious, such as the profile being in the community before, or if they are in another community in the "Communities" section. If they have a clan in there, they'll need to remove it, and have to be notified that they will have to wait 30 days after leaving their old community.
Please note that certain "Communities" such as Minecraft guilds or Anime groups would NOT count for this. If they have any of those, you can continue with their app no issue.
Checking the rest of their App
Check to see if they agreed to the CoC. Those that hit "no, they don't like the rules" can be automatically denied. Those that hit "too young" should be contacted and moved to DHJ, using proper chain of command. If they hit yes, you can move on.
If an applicant has entered "Yes" that they've been in before, get in contact with someone who has access to the return doc, and put in the chat box at the bottom (in the admin section) that they've been in before. If you cannot confirm whether or not they've been cleared, skip the app. If you can confirm their clearance, continue on.
You'll want to copy their current gamertag for a later step
Please note that sometimes people find us through the site or Facebook, and submit an application looking to join. If someone does, you should contact them or put them in contact with someone who can get them set up and recruited.
Check their Date of Birth
Double check their DoB (Date of Birth) to make sure they're of age. If not, use Chain of Command to get them set up for DHJ properly, and get them in contact with someone from DHJ to assist. Furthermore, if they're in DHG while underage, get in contact with chain of command, so they can contact someone over in the division they are in.
Also be wary of extreme ages, as people have attempted to sneak into DHG in the past using a false DoB. If it is something suspicious, simply pass it up to double check, as mistakes do happen.
Look up their Profile on Xbox
Look up their current gamer tag on Xbox.com, Smartglass, or on Xbox itself, and try to view their friends list to see if they have a Gentag. Newer apps might not have them added yet, or been accepted to the tag. Those that are 72 hrs or older might not be on the GEN tag, and should get a message in the box on the bottom of the page to add the tag before they're accepted.
You will also want to double check that their motto (Xbox 360), location (Xbox One), and bio (Both), are setup correctly. If they are not properly setup, please send them back to their recruiter with instructions on what they need to fix, be it privacy settings or incorrect motto and bio.
Approve or Reject
Once all this is done, you decide the application. If everything is fine with it, hit Approve. If it is screwed up, the person isn't in DHG, or there is some other legitimate reason why not, Reject the app. If you're uncertain with what to do with the app, leave a comment in the ADMIN section of the chat box at the bottom, and either hit the arrow to move onto the next app on the list, or "Back to Open" to see the full list of apps.
The Comment Box
The comment box at the bottom of the page is used to leave a comment either for Admins or the applicant on something that may need fixing. Here's where you tell someone why their app was rejected and how to fix it for next time, or put something in the admin discussion part that the applicant cant see that needs to be mentioned. This includes something that is needing of a CO or higher to look into and double check is fine to approve.
Welcome them to the Site
If you've accepted their app, make sure to hop on their profile, greet them into DHG, and shoot them a friend request. It's common courtesy.
Reasons to Reject an Application
"and what to say in response"
Underage: If a registration has DoB that makes the person too young to be in DHG, please refer them to DHJ in the applications comment box if they are not in DHG.
"DHG is for those ages 15 & 10 months+. However, although you're X years too young, we do have DHJ, which is a sister branch for those 9-15, i'll put you in contact with someone there, but their site is DHGJUNIORS.com"
Didn't Agree to the CoC: 100% Agreement to the Code of Conduct is REQUIRED, if they disagree to it, they cannot join the site, or the community.
"It appears that you did not agree to our Code of Conduct. This is a requirement to join DHG, so until you change your mind, we'll have to reject your application."
Cannot Locate their Profile: As it is necessary to double check that the individual is in DHG, with the correct information, finding a member is a crucial step in the approval process.
"It seems we can't locate your Xbox profile in a search, which we need to confirm your application. Please make sure you enter the exact spelling of your gamertag so we can check next time."
In Another Community on Enjin: Remember that only other gaming communities on Xbox count here. Minecraft, Anime or other Enjin sites they might be a part of that don't fit that description can be allowed to pass.
"It appears you're a member of X community on Enjin still. While you may no longer be a part of that community, we ask you leave it's site before accepting your application."
No Gentag on Friends List (app older than 72 hrs) : If an app has been sitting for more than 3 days, and that member doesn't have a Gentag added, you can consider they've left (if it isn't an app where they're trying to join) and deny it, but still ask if there's a mistake.
"You don't seem to have a gen tag added, if this is a mistake, let us know so we can help you fix it"
Neither Accepting nor Denying
"When, Why and What to do"
They've been in DHG Before: Those who've been in DHG previously need to be cleared before rejoining, write in the Admin Discussion section
Admin: "This member is returning, unsure if cleared to do so"
They don't have a Gen Tag added (with first 72 Hr of submission): This might be a fault on the gen or their own write in the Admin and the Applicant Discussion section
Admin: "They aren't on a tag"
Applicant: "You don't seem to have a gen tag added, if this is a mistake, let us know so we can help you fix it"
They're in DHG but Underage: Contact a superior of theirs and let them know, plus write in the Admin Discussion section
Admin: "This member is too young, but was recruited anyways, and needs to be transferred"
Suspicious Activity: If the member has something that is suspicious with their profile, extremely low Gamerscore, their account was created only a few days ago, or is someone wanting to return that may not be allowed to return. Or, they are in another division and something needs to be confirmed, simply leave a comment for a higher up to go evaluate, and notify your Chain of Command. Under no circumstance should an application be denied or approved that has a comment like this, without approval by the higher ups.
*Note* If the application is left there for an extended amount of time, i.e. two weeks or more, simply message the higher up and see if anything has developed.
Admin: Please leave pending for a CO or Higher to investigate.
Checklist: Before you accept their app, are you sure that:
A. They are of age to join
B. They have agreed to the CoC
C. They have been properly set up
D. They are on a Gentag
E. They have not been in DHG before
